Check and understand my Task Manager

The content of this article applies to all versions (free and paid).

The Task Manager allows you to centralize your tasks in Doctolib. It provides better tracking of actions to be carried out as part of your practice and within your facility. For more information, please consult this article.

Key points

  • Tasks can be internal or can be linked to a patient
  • Tasks referring to a patient are visible if you have access to the patient database and associated schedule
  • To communicate instantly with your colleagues or secretaries, use Doctolib Siilo messaging.
    • If you have a remote secretarial service, create a task as explained below.
  • The custom fields to associate the task to a calendar, patient, etc. are optional
    • Only, if the task is created by a Call Center, it must be associated to a calendar

Create a task

Where can I create a task?

When you create a new task, you can assign it to yourself, to a member of your practice/healthcare facility, or to your remote secretarial service. You can create one from:

  • From Name=circle-check.png Tasks located in the left menu, by clicking on 38210e6b-1d40-425f-b22b-fa948da1965dNew task
  • The Todays tasks and All tasks filters from Name=circle-check.png Tasks
  • Name=circle-check.png Tasks located under today's date in calendar view
  • The search bar at the top right of your calendar by clicking on Name=circle-check.png
  • The patient file by clicking on Name=circle-check.png Add a task in the action bar on the right
From your computer From your mobile app

Start by opening Doctolib on your computer in calendar view.

  1. Hover over Name=circle-check.png Tasks in the left menu, then click on 38210e6b-1d40-425f-b22b-fa948da1965d New task
  2. When the right panel appears, if the task is related to a patient, enter their name in the Patient search bar
    • Patient search can be done by name, date of birth or phone number
    • Suggested patients during the search come from the patient database that the person assigned to the task has access to
    • If you want to create an internal task, do not associate a patient with the task
    • If you have chosen the wrong patient by accident, you can click on icon=ellipsis vertical.png and choose Remove patient
  3. Enter the Task description
  4. Select the Task category
  5. Select the person to assign the task to in the corresponding dropdown menu
    • By default, the task will be assigned to you
      • However, if you are not the owner of the schedule, the default selected schedule will be the same as the one selected in Week view. If multiple schedules are selected in Week view, you will need to manually assign the task to someone in the practice.
    • If you are a secretary and a schedule is selected in Week view, the task will be automatically assigned to that schedule. If multiple schedules are selected in Week view, you will need to manually assign the task to someone in the practice.
    • If you have one, you can assign the task to your remote secretarial service
      • This action is irreversible
      • The next time you create a task, it will be automatically assigned to your remote secretarial service
    • If you don't want to assign this task, select Name=user-slash.png Unassigned
  6. Select the Calendar to associate with the task in the corresponding dropdown menu
  7. Set the task Due date in the corresponding field
    • By default, today's date is considered as the due date
  8. Click on Save

✅ The task is created.
